Working under the supervision of the Assistant Vice President of Workplace Services, the full-time / non-exempt Workplace Services Coordinator assists with all Facilities, Real Estate and Security-related tasks/projects as assigned to support the Workplace Services team. 

Roles & Responsibilities:

  • Coordinate and direct departmental services such as but not limited to: general facilities work order requests, office key distribution and key inventory management.
  • Assist with maintaining the department CAFM database (iOffice).
  • Process service and move requests in iOffice.
  • Manage reserved parking assignments.
  • Coordinate set up for special events such as company picnics, blood drives, fundraising activities, large meetings/conferences, etc.
  • Assist with fulfilling ergonomic accommodation requests.
  • Submit requisitions for Purchase Orders in company databases.
  • Perform general clerical duties to include, but not limited to: light bookkeeping, copying, faxing, mailing and filing.
  • Assist Workplace Services team with travel plans and schedules.
  • Interact with vendors, landlords, commercial real estate firms, contractors and visitors.
  • Process & code departmental invoices.
  • Coordinate, maintain, file and retrieve departmental records, documents, invoices and reports.
  • Create and modify departmental documents such as but not limited to, reports, memos, letters, property inventory, rent reports and financial statements using word processing, spreadsheets, database and/or other presentation software such as Microsoft Office and other programs.
  • Assist with compiling data and preparing reports for consideration and presentation to executive staff.
  • Coordinate and communicate with landlord, property managers, vendors, subcontractors.
  • Process Clean Desk Audits and Security Incident reports.
  • Assist with tracking project plans and budgets.
  • Manage Yammer posts, company announcements and responses for the Workplace Services team.
  • Support all Facilities & Security-related projects.
  • Other duties as assigned.

Core Requirements:

  • High School diploma required; college degree preferred.
  • Minimum 3 years of experience in a Facilities/Security support or Office Management role.
  • Computer literate.
  • Working knowledge of common software / programs, including but not limited to: Microsoft Office Suite, Adobe Acrobat Pro and Internet Browsers.
  • Ability to create PowerPoint presentations, Excel spreadsheets and use various reporting tools.
  • Good writing, analytical and problem-solving skills.
  • Ability to communicate effectively.
  • Ability to follow oral and written instruction.
  • Knowledge of principles and practices of bookkeeping or accounting is preferred.
  • Knowledge of principles and practices of facilities management is preferred.
  • Ability to work well either alone or as part of a team.
  • Knowledge of and experience with Cycop or other security systems preferred.
  • Knowledge of and experience with iOffice or other CAFM systems preferred.
